At Veteran Stem™ (powered by Good to Go and AllMedica Pty Ltd), your privacy and the security of your data is of the highest importance to us.

We are committed to handling your personal and health information in accordance with the Australian Privacy Principles (APPs) and the Privacy Act 1988 (Cth), as well as the security requirements of the Department of Veterans’ Affairs (DVA) and ISO/IEC 27001:2013 cybersecurity standards. 1.  What Information We Collect

We may collect the following personal and health-related information:

• Name, address, phone number, email 

• DVA status (Gold/White Card holder) 

• Relevant medical conditions (only with consent)

• Referral or intake details from your healthcare provider 

• Optional feedback or survey responses
• DVA Customer Reference Number (which is encrypted when stored)

 

All personal information is collected directly from you or with your explicit consent, unless it is unreasonable or impracticable to do so.

 

2.  How We Collect Information

We collect your information when you:

• Register interest through our online forms 

• Are referred by a Veteran Stem-approved clinician 

• Submit a direct enquiry or complete a consent form 

• Interact with our digital services (including via Zoho CRM or email)

 

We may also passively collect non-identifiable metadata, such as browser type and session length, using cookies. This helps improve user experience but does not track or store identifiable health information.

 

3.  Why We Collect Your Information

We collect and use your information to:

• Provide access to LIPO-STEM™ assessments and treatments
• Coordinate bookings and referrals with registered clinicians
• Comply with DVA treatment approval processes
• Enhance our service delivery through analytics and feedback
• Maintain clinical safety, audit, and follow-up care protocols

 

We will never use your information for marketing without consent, and we do not sell or rent your information to any third party.

 

4.  Security & Storage

All personal data is stored securely on Zoho’s ISO/IEC 27001:2013-certified cloud infrastructure, including encrypted transmission protocols (TLS/SSL) and multifactor authentication. Access is restricted to authorised Veteran Stem team members and approved clinicians bound by confidentiality and AHPRA regulations.

We do not store patient health information on local servers or paper records unless explicitly required and consented to (e.g., in regional clinics). Any paper-based forms are digitised and securely destroyed in line with OAIC and DVA standards.

5.  Data Sharing and Consent

We will never share your personal or health data with any party without:

• Your explicit written consent; or 

• A lawful requirement (e.g., legal obligation or risk to life)

 

Where referrals are required to external providers, you will be asked to sign a digital consent form authorising release of relevant information.

DVA claim-related data is only shared once you authorise a provider to lodge a request on your behalf.

 

6.  Your Rights

You have the right to: 

• Access the personal information we hold about you
• Request correction or deletion of inaccurate data
• Withdraw your consent at any time
